A happy Easter to all! At the start of March, the UK had a visit by The Beast from the East. For those who aren’t already familiar with our love of weather-based discussion in the UK, this ‘Beast’ was a particularly cold front that gave us some snowy conditions at the beginning of Spring. With snow thawed and business as usual resumed, we’ve powered through the long weekend and are now into the Easter holidays where we can be sure to expect plenty of activity in the world of tutoring.

If the year of tutoring seasonality is a rollercoaster then consider us over the tip of the apex and accelerating forward at quite a speed. We’ll certainly expect some loop-de-loops and all kinds of exciting twists and turns as things get really busy, so we’re making sure you’re well set to make the most of the ride. There has been plenty of bug squishing and database optimisations going on as always, including:

  • Speeding up the tutors adding expenses page
  • Allowing job confirmation emails to correctly use the next planned lesson
  • Correctly refreshing only new page content to increase speed
  • Set up kilometers working properly as a unit of distance

But that’s not all! There are always new features and tools available to you as part of TutorCruncher’s continued service, so let’s take a look at what’s new this month.

Socket Website Integration

We’re really excited to share with you some new additions to TutorCruncher Socket, the tool which allows you to integrate your website with your TutorCruncher account.

Firstly, by going to System > Settings > API and selecting your Socket integration, you can now select ‘Edit’ to make a number of changes to how your integration works. You can add more domains for your integration to appear on, edit the Name display of your tutors, and decide on other useful bits of information to show/not show according to your needs. Additionally, there is now a new List View of your tutors, in addition to the existing Grid View.

But wait, there’s more! We have now configured Socket so that if you have your tutor list set up on different pages, you can only show a subset of specific tutors. For example, I can add my Socket as I normally would to a separate page for my ‘Elite Tutors’, rather than the normal list. By adding a label to their profile in TutorCruncher and one line of code to your website (e.g. labels_include: [‘Elite-Tutors’], you can ensure that only tutors with that label will be included. This way, different pages of your website can show distinct subsets of tutors with whom you work.

Client Spend Interface

One of our continued aims is to give our users a sophisticated insight into the performance of their company and its growth. With that in mind, we have added a new section to your Analytics: Client Spend.

This section is designed to allow you to track the spend of your clients on a month by month basis. It can be sorted alphabetically or by the total spend, and you can set the intervals of the totals to be weekly, monthly, or yearly. TutorCruncher will let you see the ‘Charge Dates’, the totals from lessons which took place in a specific date range, or ‘Payment Dates’, the totals from invoice/credit request payments made inside the date range. TutorCruncher will total these up and show you the intensity of the amount your users have paid on a coloured scale.

Track your client spend over time

The key takeaway here is to allow you to see dropoffs, i.e. those clients who you invoiced a few months ago but have not been working with since. This is the first stage of this Client Spend metric, so we would welcome any feedback from you, our beloved users, as to how we can make this interface and insight as sophisticated as possible.

Accounting View Improvements

We have also made some worthwhile changes to accounting views within TutorCruncher. In Accounting > Client Balances, you can now toggle between the client statuses to ensure you have access to only the relevant information.

Additionally, on the Sent Invoices page, we have included some tweaks to better present this information by removing some fields and adding new ones:

  • Unpaid Invoices list now shows the date the last reminder was sent
  • Void and Paid invoices no longer show ‘Still to Pay’
  • Void Invoices now have a ‘Void Date’

Coming Soon - Client Booking

We have been working extremely hard over the past couple of months to present a truly exciting new venture: Allowing your clients to book lessons. The final stages of this are coming into place over the next couple of weeks and we can’t wait to begin working with people to allow you to list bookable lessons on your website which clients, both new and current, are then able to book. We’ll be writing to you in the very near future about this new development!
